What to get right on a photographer quotation
- Hold the date only once the booking fee is paid, and say on the quote what happens to that fee if the client cancels late.
- State how many edited images the client gets and within how many days. 'Photos delivered' with no number invites a dispute.
- Price travel outside your city as its own line: transport, and accommodation if the event runs late.
Questions people ask
How do I quote an event that might overrun?
Quote the hours of coverage plus an hourly rate for any extension. The client decides on the day whether to keep you, and the extra hours go straight onto the invoice.
Should the quotation say who owns the photos?
Yes. Say whether the client gets personal-use or full commercial rights, and whether you may use the images in your portfolio. Business clients often need this settled before they can approve the quote.
How long should a wedding quotation stay valid?
Long enough for the couple to decide, but not open-ended; two to four weeks is common. For a date a year away, say the price holds only once the booking fee is paid.
