What to get right on a logistics and dispatch quotation

  • Write down the fuel price your rate assumes. If the pump price moves before the job, the quote gives you a fair basis to re-price instead of absorbing it.
  • Say how long loading and offloading may take before waiting time is charged, and the rate per hour after that.
  • State whether goods in transit are insured and up to what value. Clients assume they are; if you carry no cover, the quotation is where to say so.

Questions people ask

Per trip or per kilogram: which should I quote?
Per trip suits dispatch and short city runs, where the vehicle rather than the weight drives the cost. Per kilogram or per tonne suits haulage and consolidated cargo. Quote the one your costs actually follow, with a minimum charge either way.
How do I quote a monthly delivery contract?
Quote a retainer for an agreed number of drops, a rate for each drop above it, and what happens to drops the client does not use. Keep the validity short, because fuel and vehicle costs move.
Should the quotation mention damaged or lost goods?
Yes. State your liability limit per consignment and what the client must declare before dispatch. One clause on the quote saves a long argument after a loss.
