What to get right on a freelance designer quotation
- Say what is excluded. Transport, materials the client supplies, extra revisions, work outside the stated scope. Most quotation disputes are about what was never listed.
- Put the deposit you need in the notes and make the delivery or completion time start from when it lands, not from the date of the quote.
- Give the quotation a validity date and a number. A client accepting an unnumbered, undated quote months later is a price you no longer want to honour.
- State what is included: number of concepts, revisions and file formats. Scope creep starts on the invoice.

- What should a freelance designer quotation include?
- Your business name, address, phone and CAC number; the client's name; a quotation number and date; a validity date; each item or stage of the work with quantity and price; whether VAT is charged; the deposit you need to start; what is excluded; and an acceptance line for the client to sign.
- How long should a freelance designer quotation stay valid?
- Fourteen days is the default on this template. Shorten it to seven if materials or fuel are a large part of the price. State it on the document so a client cannot accept last month's price.
- Should I add VAT to a freelance designer quotation?
- Only if your turnover is above the small-company threshold of ₦50 million a year and you are VAT registered. Below that, leave VAT off and the quotation says no VAT is charged, which is what most sole traders and small firms should do.
- What happens after the client accepts?
- Ask for the deposit if you need one, do the work, then open the invoice generator with the same lines and issue the invoice showing the deposit received and the balance due.
- Should I charge VAT on design work?
- Only above the ₦50 million small-company threshold. Below it, leave VAT off and say so in the notes.
