One line per item or stage with quantity and unit price. Say what is excluded in the notes; most quotation disputes are about what was not listed.

Fourteen days is the default. Prices for materials and fuel move, so a validity date protects you.

Show VAT only if you will charge it on the invoice. Below the small-company threshold, leave it off and the quote says so.

Questions people ask
- What is the difference between a quotation and a proforma invoice?
- Both come before the work. A quotation is an offer with a price and a validity date that the client accepts or negotiates. A proforma invoice is the same offer written as an invoice, usually to request a deposit or to support an import. In Nigeria most trades send a quotation first, then an invoice; importers and anyone asking for money up front use a proforma.
- Should a quotation include VAT?
- Only if you will charge VAT on the invoice, which means your turnover is above the small-company threshold of ₦50 million. Below it, leave VAT off and the quotation says no VAT is charged. Showing VAT on the quote and then leaving it off the invoice, or the reverse, is how price arguments start.
- Is a signed quotation a contract in Nigeria?
- A quotation is an offer. When the client accepts it, in writing, by signing the acceptance line or by paying the deposit, there is an agreement on those terms. Keep the signed copy. It is the document that settles what was agreed when memories differ.
- How long should a quotation be valid?
- Seven to fourteen days for anything involving materials, fuel or foreign-priced inputs. Thirty days is common for services. The date prints on the document and the generator defaults to fourteen.
- Can I use this for a work quotation or a job quotation?
- Yes. List each stage of the job or each deliverable as a line, with a quantity of 1 where it is a lump sum. The trade templates for cleaning, electrical, catering, photography, design and printing show the shape.
- How do I turn the quotation into an invoice?
