GST invoice format: the fields rule 46 requires

  • Supplier: name, address and GSTIN.
  • Invoice number: consecutive, no longer than sixteen characters, using letters, numerals, hyphens or slashes, in one series or several, and never repeated within the financial year.
  • Date of issue.
  • Registered buyer: name, address and GSTIN, or UIN for a body that has one.
  • Unregistered buyer: name, address, delivery address and the State's name and code when the taxable value is ₹50,000 or more, and below that if the buyer asks. For online money gaming, and for services sold through an e-commerce operator or as online information and database access to an unregistered buyer, the buyer's State is always shown.
  • HSN code for each line, goods or services, to the number of digits notified for your class of taxpayer.
  • Description, and for goods the quantity with its unit or Unique Quantity Code.
  • Total value, then taxable value after any discount or abatement.
  • Rate and amount of tax under each head that applies: central tax and State tax (or Union territory tax) inside one State, integrated tax across States, and cess.
  • Place of supply with the State's name on an inter-State supply, and the delivery address where it differs from the place of supply.
  • Whether tax is payable on reverse charge.
  • Signature or digital signature of the supplier or an authorised representative, except on an electronic invoice issued under the Information Technology Act, 2000.
  • On an e-invoice reported under rule 48(4), a QR code carrying the Invoice Reference Number. A business above the notified e-invoicing turnover that issues an invoice outside that system prints instead the declaration in clause (s) that it is not required to.
  • Exports and supplies to an SEZ: the endorsement "supply meant for export/supply to SEZ unit or SEZ developer for authorised operations", on payment of integrated tax or under bond or letter of undertaking, with the buyer's name and address, the delivery address and the country of destination.

Issuing a valid invoice here

A GST tax invoice is issued under rules 46 to 48 of the CGST Rules, 2017. Rule 46 requires a consecutive serial number of not more than sixteen characters, in one or several series, using letters, numerals, hyphen and slash only, and unique within the financial year. Each series therefore restarts on 1 April.

Rule 47 sets the time limit for services: the invoice must be issued within thirty days of the supply, or forty-five days for insurers, banks and financial institutions including NBFCs.

Rule 48 requires copies marked by recipient. For goods there are three: ORIGINAL FOR RECIPIENT, DUPLICATE FOR TRANSPORTER and TRIPLICATE FOR SUPPLIER. For services there are two: ORIGINAL FOR RECIPIENT and DUPLICATE FOR SUPPLIER. Invoice serial numbers issued in the tax period are then reported electronically in GSTR-1. Businesses notified for e-invoicing must instead obtain an Invoice Reference Number from the Invoice Registration Portal before the invoice is valid.
