Issuing a valid invoice here

A Zambian invoice is valid only if it comes out of an approved electronic invoicing system, not from a Word or PDF template. For every sale, whether or not the customer is present or asks for one, the invoice is generated in the system. ZRA offers free Mobile, Desktop and Online Smart Invoice solutions. If you use accounting software, any integration cost is yours. Each device installation uses one TPIN, and the system may not be transferred to a third party.

Currencies: invoices can be issued in kwacha (the default), US dollars, pounds, euros, Chinese yuan or South African rand. You choose the currency and set the exchange rate. Printing is optional, so you can email the invoice, or send an SMS link from the mobile app. A QR code on each invoice lets the customer check it with a mobile app.

If the system is down, issue a manual tax invoice or use an approved fallback, tell the Commissioner-General if the disruption lasts 24 continuous hours, and upload the manually captured sales within 72 hours. Offline Smart Invoice sales must be uploaded within 3 days. Display the notice about the system in a conspicuous place (a fine of up to 30,000 penalty units applies if you do not), and keep an issue log book for each system.
