Issuing a valid invoice here

A registered business gives the customer its tax invoice at the time the supply takes place, not when the money arrives (VAT Act, section 36(1)). Issue it on the day of delivery or completion, from a numbered sequence, and keep a copy: section 38(3) puts copies of every tax invoice given, and every proforma invoice, among the records the Board can ask to see.

The full invoice matters most to a VAT-registered customer. Under section 34(1)(a), the tax a buyer can treat as input tax is the tax charged where a section 36(2) tax invoice was given, so a short-form receipt or a plain statement of account does not support their claim. A PDF that carries every section 36(2) particular does the same job as a printed one.

A proforma invoice is a different document. It may show the rate and amount of tax like a tax invoice, but it must be clearly marked proforma and is not a tax invoice for the purposes of the Act (section 46(3)). Do not send it as the final bill.
